Description

The AV Bid Manager is responsible for coordinating the bid response process, developing and maintaining a knowledge base of standard answers and templates, as well as identifying ways to improve the quality, consistency and efficiency of the bid response process. The role is generally focused on formulating bid presentations, from evaluating the initial inquiry and estimating leads, tracking and managing progress of works and presenting final bids to clients as required.

KEY RESPONSIBILITIES:

  • Manage all aspects of the bid process to ensure deadlines are met
  • Compile, edit, and proofread RFPs which contain technical content and designs ensuring that these are presented in a professional and concise manner
  • Qualify bid opportunities based on a variety of key factors such as size, scope, turn-over date, customer profile, location, complexity, competition, vendors etc.
  • Ensure that the most appropriate and relevant solutions for each bid are effectively pulled together from all parts of the business (Sales, Engineering, Project Management, Programming, Operations, Admin, Management, Finance, Marketing etc.)
  • Schedule internal and/or external meetings to clarify responsibilities and ensure all customer expectations are met
  • Review and revise documents prepared by others and coordinate the preparation of those materials in a completed bid response
  • Determine the scope and timeline
  • Leverage vendor relationships to ensure best pricing
  • Obtain labor pricing from internal and external sources accordingly
  • Supervise the daily tasks of the AV Engineering Coordinator
  • Review internal pricing documents for accuracy
  • Ensure all proposals are formatted and comply with consultant or customer guidelines
  • Coordinate clarification questions, submit RFIs and monitor responses
  • Develop exceptions document to protect the company’s interests
  • Determine if secondary items like training, service, warranty, permits, bonds and insurance are required
  • Maintain bid information in CRM database and ensure the information accurately reflects the opportunity status
  • Foster and develop relationships with industry influencers such as Consultants, Architects and General Contractors
  • Develop knowledge of business, its products and services by reading and review previous bid and design documents
  • Develop a set of standard bid response templates
  • Work with Finance to ensure all legal documents are vetted and signed
  • Transition sales and project management responsibilities to the appropriate staff based on the account and opportunity to ensure the customer is properly engaged

QUALIFICATIONS:

  • Technical awareness including an understanding of AV solutions
  • Excellent interpersonal skills that enhance a team environment
  • Able to provide leadership and guidance to less experienced personnel
  • Able to work to tight timescales particularly when developing proposals
  • Substantial experience using MS Office including Word, Excel and PowerPoint.
  • Team and action oriented; proactive in prioritizing own work load and assigned areas of responsibility to others
  • Able to influence assertively to get results
  • Ability to problem solve independently with a sense of urgency
  • BA/BS degree

EXPERIENCE:

  • Minimum of five years in sales and customer service or related experience required
