Description
Extend exemplary customer service to guests visiting the East Hartford Showroom; provide every customer with a superior experience.

Responsible for the smooth and efficient execution of customer and vendor visits, reservations and scheduling of showroom meeting areas on a day-to-day basis. Duties also include assisting with the execution of all Red Thread on-site events (breakfasts / luncheons / appetizer, seminars, etc.) for supporting business by operating switchboard and connecting callers to the appropriate person and or location.

Job Functions:
  • Switchboard Operator handling a variety of business calls external and internal as well as interoffice calls. Announcing visitors when they arrive and paging over multiple locations. Handle emergency calls by reaching the appropriate person, via email, cell phone or land line.
  • Prepare for customer visits: Make arrangements for food and beverages as needed. (ordering, set-up and clean up) Track up-coming customer visits on the Showroom Calendar. Identify and communicate potential showroom space conflicts on a given day. Ensure all Showroom Experience Protocols are followed.
  • Draft and send a “Daily Showroom Update” Email to the East Hartford Global Email daily prior to 9:00 am, send updates during the week if needed.
  • Greet visitors warmly; offer hospitality. Connect guests with the correct person at the right time.
  • Responsible for communicating with building facilities management to coordinate logistics required for Red Thread events (building access).
  • Maintaining the inventory of supplies need for events (water, soda, beer, wine, plastic ware, napkins, etc.
  • Food and Beverage Service: Responsible for food, beverage, and catering ordering, set-up, delivery and clean-up. Responsible for processing on invoices, cross charges, etc. Adeptly handles last minute and rush orders. Maintains an event book detailing vendor contact information, menus, pricing, etc., which can be used during his or her absence to coordinate last-minute meetings and events.
  • Responsible for reception desk and concierge services: reception, maintaining reception work schedules to ensure adequate staffing coverage and back-up in the event of unexpected absences; maintaining an up-to-date reference manual for the execution of the receptionist position; training staff on reception coverage.
  • Manage display in front lobby and update as needed for welcoming scheduled guests when requested for customer visit.
  • Ensure that showroom is clean and presentable in accordance with protocols
  • Assist with room reservations on roomwizards and maintain a calendar for areas of the showroom that are not currently on the reservation system.
  • Handles miscellaneous tasks and services that are a part of the RSC Service (insurance certificates, administrative assistance, bid assembly, FedEx etc.)
Qualifications

Skills & Abilities:
  • Proficient in MS Office and Outlook 365
  • Ability to learn other internal computer programs as needed to complete assigned tasks
  • Has strong interpersonal and communication skills and must be able to interact with varying degrees of authority both internally with staff and externally with vendors and clients.
  • Ability to follow-up on outstanding issues requiring resolution.
  • Ability to communicate in a clear, timely and professional manner with all levels of staff, clients and vendors
  • Highly detail oriented with solid organizational and administrative abilities to handle multiple priorities and projects concurrently.
  • Facilitates various situations with diplomacy, tact, innovative solutions and strong problem solving skills
  • Maintains familiarity with Red Thread’s policies, procedures, objectives, physical environment, culture and business cycle in order to perform job responsibilities
Level of Education/Training/License:
  • High School Diploma or Associates Degree
