Definition

Plans, coordinates, schedules and oversees all elements of projects, ensuring performance quality, customer satisfaction, and on budget projects. The Project Coordinator is also the primary integrator for the various Red Thread business segments involved in a project.

Responsibilities and Duties

Project Management:

Project Planning, Coordination and Management:

  • Establishes overall project scope and manages dealer/manufacturer team to ensure coordinated effort.
  • Develops work plan, schedule and logistics based on overall project parameters, project schedule, scope, budget and customer’s goals.
  • Reviews project site plans and product specifications.
  • Coordinates with Client and 3rd party firms such as A&D, electrical, cabling, building management, etc.

Project Administration:

  • Maintains detailed project documentation, including key project decisions, customer project requests and revisions.
  • Creates and provides timely formal written communications throughout projects to customer, dealer and project team.
  • Manages accurate and detailed record keeping including order detail, sign-offs, schedules, communications, etc.

Project Implementation:

  • Reviews technical services’ plan and specifications for accuracy, completeness and correct product application.
  • Manages the change order process.

Order management:

  • Need to review all data entry final quotes for accuracy prior to placement of order with manufacturers.
  • Interfaces with manufacturers to establish shipping schedules and special instructions.
  • Reviews ship dates to ensure project timelines are met.
  • Utilize all order management reports to track orders.
  • Sends order confirmation to customers
  • Track acknowledgements – including whether or not it has been acknowledged.

Installation /implementation:

  • Surveys site to determine site readiness.
  • Meets with Lead Foreman to ensure accurate handoff.
  • Be on site as crews begin implementation; stays in touch to ensure timelines are being met and plan is being executed.

Closeout:

  • Walks project and develops punch list; is responsible for punch list resolution.
  • Manages all final project closeout requirements including lien waivers releases, contract requirements and client sign-offs.
  • Confirms project completion and ensures all invoicing is timely and accurate.

Account Administrative Management:

  • Publish status reports for review by the sales team and customer. Participate in regular team meetings and update all parties on the status of projects and activities.
  • Identify and enlist resources necessary to effectively service the customer.
  • Coordinate the production of installation drawings with the Designer/Architect and customer to ensure functionality of product as well as accuracy of specifications
  • Coordinate requests for delivery, service and installation with Operations personnel or outside contractors
  • Verify acknowledgements against Red Thread order.
  • Attend and take notes for all project meetings.
  • Perform site visits as necessary.
  • Be familiar with all contract agreements between the client and Red Thread.
  • Utilize all order management reports to track orders.
  • Ensure that all punch-list items have been resolved and orders closed out for invoicing in a timely fashion based on customer expectations.
  • Maintain accurate and standardized order records.

Qualifications

Skills & Abilities:

  • 3+ years of Project Coordinator/Management experience within a furniture dealership environment
  • Strong Customer Service skills
  • Demonstrates sense of urgency
  • Management of moderate to large scale projects with an emphasis on cost effectiveness, accuracy and customer satisfaction
  • Solid computer skills: Hedberg, Word, Excel, Outlook
  • Ability to anticipate and resolve site issues
  • Is a team player that possesses solid communication skills, including: verbal, written, presentation and listening skills
  • Detail and process oriented
  • Innovative, creative, proactive and flexible; can multi-task
  • Technical –
    • Able to analyze, plan, schedule and implement project installation
    • Able to produce takeoffs, specification and order ready documentation
    • Has a strong knowledge of all aspects of furniture management, including order preparation and management, installation and furniture project administration.
    • Possesses strong organizational skills including documentation and file management
    • Project Management and/or Sales Coordinator experience

  • B.A./B.S. degree
